Approvals
Some trip requests need sign-off before payment can continue. Here's when approval is needed and how it flows.
When a booking needs approval
- Any booking that's out of policy always needs approval.
- If your policy has Every booking needs approval turned on, every trip is reviewed, whether it is in or out of policy.
Who approves
Approvals follow the named chain on the policy. If no valid named approver is available, an independent admin can review from the approval queue in Trips.
Approvers can:
- Approve the current step
- Decline with a reason that the traveler can see
- Use an admin override with a reason when authorised, recording any bypassed steps
The trip detail page records completed, declined, skipped, and overridden approval steps.

Nobody can approve their own booking. The person who booked and the traveler are skipped where they conflict. If there is no independent approver, the request waits until an admin assigns or invites one.
What happens after approval
An approved request becomes payable when a final price is available. A declined request remains visible in Trips with the decline reason.
